**Position Summary** * Collaborates with Manager to achieve program objectives and overall program mission. * Assists with the development and planning of programs to support the department. * Develops relationships with and acts as a liaison to internal and external contacts. * Assists with data collection, data entry and other computer needs supporting department objectives as appropriate. * Attends staff meetings and assists program staff to meet department needs. **Responsibilities** * Collaborates with Manager and program staff to achieve program objectives and overall department mission. Participates in program meetings concerning specific department activities and attends monthly staff meetings to discuss overall program Communicates concerns and needs in a timely and efficient manner. Answers telephone conducting proper phone etiquette, directs callers and answers questions regarding classes * Assists with data collection, data entry, and other computer needs supporting department objectives as appropriate. Maintains databases and monitors compliance with training requirements. Report generation, preparation of rosters, and general data entry as required. Schedule and set up audio visual equipment for presentations : Sets up programs in Learning Management System via Program Work Request, manages rosters as required for program delivery and maintains drop/adds accordingly to ensure system accuracy is maintained in a timely and efficient manner. Schedules and monitors education and conference areas with room booking software. * Assist with the Development of Department Activities. Supports the Manager and program staff, prepares various reports, materials, policies, develops and gathers materials for program promotion and education. Supports program staff in preparation for events, meeting preparation, outreach activities, monitors compliance with department requirements. Assists with training, licensing needs and tracks, and orders department supplies. Makes copies for programs and/or assemble, collate, staple, bind, laminate materials as required. * Represents program to internal and external contacts. Develops relationships with program directors and coordinators and acts as a liaison. Serves as resource to program directors and program coordinators. Answers telephone conducting proper phone etiquette, responding to internal and external customers, gathering information about needs and communicates with the team member who can best assist. Ability to work independently with limited supervision. Strong organization and detail orientation. Demonstrates active participation to provide superior service. Coordinates and inventories department items such as practice lab equipment. **Minimum Requirements** High School plus 2 years or more of formal training or education- or higher. 2 to 3 years experience as an Administrative Assistant, Program Assistant or Database Support. One year of progressively related experience, beyond three years may be substituted for 1 year of the required education, with a maximum substitution of two years. **Pay Range** $17.66 - $25.74 **Other Information** knowledge of graphic design of marketing materials, office management, reconciling accounts, and maintaining reports.
